01 Overview & quick start
MadiFair gives every doctor one workspace for the whole visit: from the moment a patient is added to your queue, through history and vitals, to a printed prescription and the follow-up visit.
The big picture
Who can do what
| Person | Signs in with | Can do |
|---|---|---|
| Doctor | Google or email OTP | Everything in this guide. Only the doctor can see the Patient Documents panel, edit fees, sign, and re-open a finalized prescription. |
| Assistant | Own email + OTP (added by the doctor) | Take appointments, record history and vitals. Opens the prescription page only if the doctor grants it. |
| Hospital reception | Own email + OTP (added by the hospital) | Book appointments for a doctor only after that doctor and/or the hospital has granted booking access. |
15-minute quick-start checklist
- Sign in and create your Doctor profile (section 02).
- Complete Personal Info: photo, degrees, specialization, designation (section 04).
- Set Fees: visit, follow-up, emergency (section 04).
- Draw or upload your Signature so it prints on prescriptions (section 04).
- Link your hospital or create your chamber (section 05).
- Set your weekly schedule in Full Profile (section 06).
- Add favourite labs and medicine companies to speed up prescribing (section 05).
- Add an assistant if someone helps you at the chamber (section 07).

02 Sign in & create your profile
MadiFair has no passwords. You sign in with Google, or with a one-time code sent to your email.
Signing in
- Open the Login page from the home page.
- Choose how to sign in. Either press Continue with Google, or type your email and press Send OTP.
- Check your inbox for the 6-digit code (also check spam), enter it on the verification page and confirm.
- You land on your dashboard. If your email is linked to more than one profile (for example Patient + Doctor), you first see a role picker — choose the one you want.
- You can request a new code only once per minute. A new code replaces the previous one.
- Everyone starts as a Patient. A brand-new email is registered as a patient automatically on first sign-in.
- Your login email is your account identity. It is never printed on prescriptions — see “contact email” below.
Adding the Doctor profession to your account
If you have not created a doctor profile yet, sign in (you land on the Patient dashboard) and use:

Main area
- Six live counters — patients in today’s queue, prescriptions written today, assistants on duty, follow-ups today, Today’s collection and This month’s collection (Tk). The two collection tiles open Daily Analysis and use the same fee totals (visit fee + follow-up fee on prescriptions, excluding Cancelled and Entered-in-Error).
- Today’s Queue — every patient booked for today, in order. Buttons: Add to Queue, All Appointments, Permissions. Each row has a prescription shortcut and a patient-details shortcut.
- Patient Documents (Doctor Only) — search your patients by phone number and view every document on file.
- On Duty — assistants currently active, with a “+” to add another.
- Lab Verify — appears when a laboratory has assigned you as a verifying doctor.
- My Hospitals and My Medicine Companies — quick view with edit shortcuts.
- Quick Actions — All Patients, All Appointments, Find a Prescription, Follow-ups, Daily Analysis.
- Emergency Service card — go online/offline for emergency calls (section 16).
- 📞 button (bottom-right) — start an audio or video call (section 17).
04 Profile, fees & signature
Patients see this information on your public profile and on every prescription, so complete it once and keep it current.
Personal Info
- Basic details: doctor type, full name, phone, contact email and up to two contact numbers, hospital name, years of experience, bio.
- Specialization: pick up to five.
- Degrees: degrees are grouped by type. Tick each degree you hold and add the institute (and optionally the country) so it prints correctly.
- Designations: up to five (for example Consultant, Associate Professor, Head of Department).
- Profile photo: upload any image; it is automatically compressed to a light, web-friendly size.
Fees
| Fee | How it is used |
|---|---|
| Visit Fee (Tk) | Charged for a new visit. Pre-filled on the prescription when the appointment is not marked as follow-up. |
| Follow-up Fee (Tk) | Pre-filled when the appointment is marked as a follow-up (Recurring = Yes). |
| Emergency Call Fee (Tk) | Fee shown to a patient who requests you through the Emergency service. |
| Discount (Tk, optional) | Optional discount amount stored on your profile. |
Signature
Choose one of two ways: Draw your signature with mouse or finger and save, or Upload an image file. The current signature is shown at the top of the page. A clear signature on a white or transparent background prints best.
05 Hospitals, chambers, labs & companies
A doctor can run an independent chamber, work in several hospitals, and refer to the labs they trust — all from one profile.
Linking hospitals
- Search for the hospital by name. Suggestions appear as you type, with names that start with your text first.
- Pick it from the suggestions and optionally add your contact number for that hospital.
- Save. The hospital now appears in your list with the days and times you sit there.
- Not listed? Type a new name and location. MadiFair creates it as a Personal Chamber owned by you and links it to your profile.
- Update contact: change your phone number for one hospital without touching the others.
- Remove: unlinks the hospital from your list (it does not delete the hospital).
- Token number: a hospital may assign you a short token for its front desk. It is unique per hospital — you can have a different token at each hospital.
Creating your own chamber
On the Hospitals page press + Create Chamber. Your chamber is created, approved and linked to you as full-time straight away, and is available in the schedule dropdowns.
Favourite laboratories
Search a lab by name and add it to your list. Your favourites populate the Refer these tests to a lab dropdown when you write a prescription.
Medicine companies
Select the pharmaceutical companies whose brands you commonly prescribe. In the medicine picker you search by generic name first, then choose from your companies’ brands, so the list stays short and relevant.
06 Weekly schedule
Your schedule tells the system where and when you sit. It drives appointment booking and the hospital shown on your prescription header.
- Find the day (the week is listed Saturday to Friday) and turn it Active.
- Add a slot: choose the hospital, then optionally the branch and department, the start time and end time, and an optional max patients limit (0 or empty means no limit).
- Add more slots for the same day if you sit in two places (for example morning at your chamber, evening at a hospital).
- Save the profile. Warnings, if any, appear at the top after saving.
Rules the system applies
- The end time must be later than the start time, otherwise that slot is skipped with a warning.
- Two slots on the same day at the same hospital cannot overlap. Different hospitals may overlap.
- A day marked Active with no slot filled in means you are available all day, with no hospital or time restriction.
- Saving a day replaces that day’s previous slots with what is on the form, so review the whole day before saving.
Where the schedule is used
- Booking check: if you have active slots on the appointment’s weekday, a booking outside those hours is refused with the message “Selected time is outside the doctor’s schedule for this day”. If you have no active slot that day, any time is accepted. For hospital reception staff, only your slots at their hospital are checked.
- Prescription header: when a visit is not tied to a specific hospital, the header uses the hospital you are scheduled at on that weekday.
- Hospitals page: shows your slots grouped by hospital, including any patient limit.
07 Assistants & reception access
Delegate the busy work — booking, intake, vitals — while keeping clinical control.
Adding an assistant
| Field | Notes |
|---|---|
| Full name, email, phone | The assistant signs in with this email (Google or OTP), exactly like a doctor. |
| Role | Data Entry Assistant, Lab Assistant, Nurse, Receptionist, Pharmacy, Assistant Doctor, Compounder, Medical Assistant, Office Assistant, Other. |
| Staff Number | A unique ID. MadiFair suggests the next free one; you can type your own. Duplicates inside your team are rejected. |
| Active | Untick to suspend an assistant without deleting their history. |
You can delete an assistant from the same page. Choose the role carefully — it decides which sections the person can open.
What an assistant sees
- An assistant dashboard with today’s queue (only patients assigned to them, if any are assigned; otherwise the whole queue) and a view-only list of the team. Only the doctor can add or remove assistants.
- Action buttons and pages depend on the assistant’s role (table below). If a role opens a section it has no access to, it is sent back to its dashboard with the message “Your role (…) doesn’t have access to this section.”
- The prescription page only when you allow it (Permissions, below), on top of the role. Even then, an assistant can never re-open an already-finalized prescription — only the doctor can.
- A Lab Assistant also sees today’s pending in-house tests with a link straight to the report-entry form on the patient’s History page (today’s appointments only).
| Role | Appointments (booking) | Patients & History |
|---|---|---|
| Assistant Doctor · Nurse · Receptionist · Medical Assistant · Other | Yes | Yes |
| Office Assistant | Yes | — |
| Data Entry Assistant · Lab Assistant · Pharmacy · Compounder | — | Yes |
Permissions
- Prescription page access: a switch per assistant. Off by default.
- Field visibility: tick or untick individual fields of patient and clinical records to control what is displayed. Everything is visible until you change it.
Letting hospital reception book for you
You see the active employees of every hospital you are linked to. Tick those who may book appointments on your behalf. Booking access can also be granted by the hospital; either grant is enough, and the page shows when the hospital has already granted it. A receptionist without access sees: “No doctor has granted you appointment-booking access yet.”
08 Booking patients (the queue)
Every visit starts with an appointment. The patient’s mobile number is the key.
Or use Sidebar → Chamber → Take Appointment.
- Type the phone number. Existing patients are recognised and their details fill in.
- Complete or confirm: full name, email, gender, age, address, reason for visit.
- Choose the date and time. Leave blank for “now”. The schedule check (section 06) applies.
- Set “Recurring appointment” to Yes if this is a follow-up. This decides whether the prescription uses the follow-up fee and whether the patient appears on the Follow-ups page.
- Optionally enter weight and height. They are saved to the visit’s vitals right away.
- Save. You get a message such as “Appointment #7 created.” — that number is the patient’s place in today’s queue.
Behaviour worth knowing
- Queue numbers count up per doctor, per day.
- One open appointment per patient per day. Saving the same phone number again for the same date updates that appointment instead of creating a duplicate.
- After a prescription is finalized, booking the same patient again on the same day starts a new visit with its own number.
- The same phone number can exist as separate patient records under different doctors; each doctor sees only their own patients.
Seeing all appointments
Shows today and all others, filterable by date.
09 History & vitals
Capture the patient’s story and measurements before the consultation. This step is usually done by an assistant.
Select today’s appointment (or arrive here from the queue). The page is one continuous form:
| Section | What it captures |
|---|---|
| Patient Info | Identity, contact and identification, address, clinical snapshot, emergency contact, appointment status. |
| Medical History | Present illness, past medical history, medication and allergy, family history, lifestyle. |
| Special histories | Menstrual & obstetric (where applicable), birth & developmental (paediatric), systemic review. |
| Vitals | Blood pressure (mmHg, e.g. 120/80), pulse, temperature (°F), respiratory rate, height (cm), weight (kg), SpO₂ (%). BMI is calculated automatically from height and weight. |
| Documents | Upload scanned reports, old prescriptions or photos. They are stored on the patient’s record. |
10 Writing a prescription
The prescription workspace pulls history, vitals, allergies, past prescriptions and reports into one screen so you can decide and document quickly.
Or open Quick Actions → Find a Prescription and choose the patient with Load Appointment. Only today’s appointments can be prescribed against.
What you see on the page
- General & Emergency Information about the patient, plus allergies and known conditions.
- History & Reports — findings from earlier visits, each with the dates it was recorded, and reports for tests ordered in this visit.
- Previous prescriptions — the latest one in full, older ones collapsed.
- Documents — the most recent uploads first, older ones in a separate card.
Filling it in
- Chief Complaint and Diagnosis. Type free text, and/or use Select Disease / Advice to add disease chips. History templates can insert ready-made text.
- Consultation Type: In-person or Telemedicine.
- Medicines. Search by generic name, choose the company, pick the brand, then add dosage and instructions:
A medicine that is not in the list can be typed and is added automatically.
Field Examples / options Dosage & frequency Free text such as 1+0+1. Route Oral, Topical, IV, IM, Subcutaneous, Inhalation, Sublingual, Rectal, Eye, Ear, Nasal, Vaginal, Transdermal, Other. Meal relation Before Meal, After Meal, With Meal, Empty Stomach, Not Applicable. Duration & quantity For example 7 days, quantity 14. Instruction Any extra advice for that medicine. - Lab tests. Search and add tests. Each keeps its name, code, unit and price.
- Refer these tests to a lab (optional). Choose one of your favourite labs and, optionally, a reason. Choose “no referral” to remove an existing one.
- Advice / Recommendations for the patient.
- Fee. The visit fee or follow-up fee is pre-selected from the appointment type; keep one.
- Press Save Prescription. You are taken to the printable prescription page (section 11).
Safety net: drug warnings
When medicines are on the prescription, a warning banner lists, most serious first, (1) interactions between the prescribed medicines and (2) contraindications between a medicine and the diagnosed diseases. Severity levels are Contraindicated, Major, Moderate and Minor. The system informs you; the clinical decision stays with you.
Carry-forward from the last visit
If this visit has no medicines, tests, diagnosis or chief complaint yet, the page pre-fills each empty part from the patient’s recent prescriptions with you, with a note such as “Medicines/tests carried forward from previous prescription #…”. Nothing is saved until you press Save — and every carried item can be edited or deleted first.
11 Print, finalize & edit later
Printing is the moment a prescription becomes final.
The printable page
After saving you see the prescription-pad layout: hospital letterhead, doctor and patient details, chief complaints, advice, vitals, key history findings, investigation results (findings already received) and pending investigations, medicines, and your signature.
- Print — prints the slip and finalizes: the prescription is locked as final, the visit is closed (appointment marked completed) and the invoice is created. Pressing Print twice never creates a second invoice.
- Download Invoice PDF — the invoice with fee totals.
- Add Referral — refer the patient to another doctor or hospital (section 12).
- Two QR codes are printed. The first carries the prescription number, patient, doctor, total and date for verification. The second is the follow-up QR: scanning it later opens a new visit for this patient in one step.
Changing a finalized prescription
A finalized prescription is never silently overwritten. Two things can happen, and both keep the original safe:
- You open a finalized visit. MadiFair automatically creates a fresh same-day follow-up appointment, copying the hospital and details, and shows you an editable prescription pre-filled from the finalized one. The original stays untouched.
- You edit and save a finalized prescription (doctor only, with an optional reason). The earlier content is stored first as a numbered, tamper-evident version, and the prescription is re-opened; printing again re-finalizes it without a second invoice.
How the patient gets it
Patients can look up their prescriptions by phone number, and downloading a copy is protected by a one-time code sent to their email.
12 Follow-ups & referrals
Starting a follow-up visit
There are three ways, all ending on the same History page:
- Scan the follow-up QR on the patient’s printed slip. Choose New Visit or Follow-up. Today’s appointment is created (or reused) with the next queue number. You must be signed in as doctor or assistant first.
- Book it with Recurring appointment = Yes (section 08).
- Sidebar → Chamber → Follow-up Patient (or Quick Actions → Follow-ups).
The Follow-ups page
Lists today’s patients whose appointment is flagged as follow-up and who have not yet been marked seen. For each you can review every previous test with its status, attach a report file or result, and then confirm the patient as seen — which takes you to the patient’s details. A brand-new (non-recurring) patient never appears here.
Referring a patient to another doctor or hospital
| Field | Notes |
|---|---|
| Referred to | Name of the doctor or service you are referring the patient to. |
| Specialization | Speciality of the receiving doctor. |
| Hospital | Choose the hospital if it is on MadiFair. |
| Reason | Why you are referring the patient. |
A referral starts with the status Issued. For lab referrals, use the lab dropdown inside the prescription itself (section 10).
13 Lab report verification
A laboratory or hospital can appoint you as a verifying doctor for chosen test categories, so a qualified doctor signs off results before they are released.
- You are assigned by the laboratory (or its hospital). Nothing to set up on your side.
- A “Lab Verify” card appears on your dashboard listing each laboratory you verify for.
- Open it. You enter that laboratory’s results page without signing out of your doctor session — you keep seeing patients as normal.
- Review results. You see only results that are entered as Final and belong to your assigned categories.
- Verify. Your verification is recorded with your name and the time.
14 Patient records & daily analysis
All patients
Your own patient list. Open any patient to see their details, history, previous prescriptions and reports.
Patient Documents (doctor only)
Type a patient’s phone number, pick the patient, and see every document on file: uploaded clinical documents and lab test report files, newest first, with type, description and upload time. It only searches your own patients and is hidden from assistants.
Lab Commission (read-only)
Shows the lab-referral commission rules that laboratories have set for you (laboratory, test or “All tests”, and percentage), your commission statements, and the total still unsettled. Rules and statements are created and settled by each laboratory — you cannot edit them here. If a rate or statement looks wrong, contact the laboratory.
Daily Analysis
A day-by-day summary of your practice. The default range runs from the first of this month to today; change from and to to look at any period.
- For each day: patients seen, number of visits and the day’s total bill.
- The total bill is the sum of the visit fee and follow-up fee recorded on that day’s prescriptions.
- Prescriptions marked Cancelled or Entered in Error are excluded.
- Range totals (bill, visits, distinct patients) are shown at the top.
15 Credentials & reviews
Accredited hospitals and licensing bodies expect a clear record of what you are authorised and qualified to do. MadiFair keeps it in three places.
Hospital Privileges
Request a specific right at a hospital you are linked to — for example a procedure, surgical rights, admitting rights, prescribing (including controlled substances), diagnostic or administrative rights. Add the department, expiry date, a supporting document and notes.
The hospital’s administrator reviews and grants, suspends or revokes. A privilege counts as active only while it is Granted and not past its expiry date.
CME Credits
Log Continuing Medical Education: activity title, provider, accrediting body (for example BMDC), category (Conference, Workshop, Online Course, Publication, Teaching, Other), credit hours, completion date, and certificate file or reference. Records are marked verified by a reviewer, not by you.
External IDs
Store registry identifiers: BMDC registration, NPI, National ID, Passport, health-professional council ID or other. Mark one as primary and record who issued it and when it expires.
Public profile & patient reviews
Patients can rate you from 1 to 5 stars after an appointment, with a comment. A review tied to a real appointment is treated as a verified visit. Every review is moderated by the platform before it appears publicly (Pending → Published, Rejected or Flagged); you cannot edit or remove reviews yourself.
16 Emergency service
Optionally make yourself available to patients nearby who raise an emergency call. It is entirely your choice — you are offline by default.
- Set your Emergency Call Fee under Fees (section 04).
- On the dashboard, open “Emergency Service” and press 📍 Go Online. Allow location access when the browser asks; your position is used to match calls within the service radius shown on the card.
- Keep the dashboard open. When a nearby patient calls, a “New Emergency Call” panel appears with an alert sound and the patient’s details.
- Accept or Decline. The first responder to accept gets the case; others see that it was already taken.
- Follow your case from the Active Cases / Emergency History button, which lists accepted cases and recent notifications, and the full call history with each patient.
- Press Go Offline when you are done.
17 Audio / video calls
Call a patient or a colleague directly from your dashboard — no phone number exchange required.
- Press the green 📞 button at the bottom-right of the dashboard.
- Choose who to call: Doctor, Pharmacy, Laboratory, Hospital, or Patient.
- Type at least two letters of the name. Matching people are listed.
- Tap 🎧 for an audio call or 🎥 for a video call beside the person’s name. You are taken to the call room.
- Patients you can call: only patients who have an appointment with you.
- Receiving a call: a banner appears at the top of your screen with buttons to accept or decline.
- Who appears in search: active doctors, and approved, active pharmacies, laboratories and hospitals.
18 Billing & access days
MadiFair access is prepaid by the day. Your balance is converted to days left at your daily rate, and you can see it at any time.
How it works
- Daily rate: a fixed amount per day (Tk). It can be different for each account — for example one doctor may pay Tk 10 per day and another Tk 20.
- Days left = balance ÷ daily rate. More money, more days.
- Days badge: a small “📅 N days” badge in the page header always shows your estimated days left (green above 30 days, shading through yellow to red as it drops), whether or not billing is enforced.
- Expiry warning: when billing is enforced and your access is close to ending (36 hours by default), a banner appears at the top of your pages with the hours left and the exact end time.
- If access ends while billing is enforced, most pages redirect to the top-up page until you recharge. Login, logout and the top-up page always work.
- Billing may be off. The platform’s Super Admin can switch billing on or off for the whole platform, or for one sector (for example doctors) at a time. If it is off, you will not be asked to pay.
Topping up
/billing/topup/- Read the panel at the top: current balance, days left, rate per day, and “access valid until”.
- Send the money using one of the accepted methods shown on the page: bKash or Nagad (Send Money) or a bank deposit, to the number/account displayed.
- Fill the form: amount (Tk), method, your sender number (optional) and the Transaction ID (TrxID) — required.
- Press “Submit for Verification”. Your payment appears in history as pending.
- Wait for confirmation. When the platform team verifies the transaction the status becomes confirmed and your days are added. If something is wrong it becomes failed.
Special account states you may see: Complimentary (no payment needed) and Blocked (contact support).
19 Security & good practice
- Protect your inbox. Your email receives your sign-in code; secure it with a strong password and two-step verification.
- Sign out on shared computers. Use Logout in the sidebar, especially at a reception desk.
- Use the assistant lock. Give each assistant their own account and Staff Number — never share your own login.
- Grant the minimum. Keep assistant prescription access off unless it is genuinely needed, and review Permissions regularly.
- Deactivate leavers immediately. Untick Active for an assistant who leaves.
- Check before you print. Printing finalizes the prescription; review medicines, dosage and warnings first.
- Keep your contact details current. The contact email and numbers you save are printed for patients to see.
